All,

As you may have heard, the Engineering group is going to be moving the
various ticketing and issue-tracking systems we currently use (e.g. RT,
Trac) to a single new system this year. I am tasked with leading this
effort, and as part of that, I wanted to gather feedback from you - the
user - so that I can understand your specific requirements, and address
any questions of concerns you may have around this.

The motivations for moving to a new system are many and varied:

- We want to converge on a single tool for use by all engineering
product teams, to reduce overhead and to bring consistency to our
issue-handling processes
- We want a system that allows for generation of meaningful statistics
and reports, so that we can track various trends and improve quality
- We want to use a modern system that affords ease of use for
engineering personnel, and minimizes the amount of obfuscation it
presents to the user
- We want to be able to customize the system to suit our specific
per-product and per-user needs
- We want a system that will integrate with our existing engineering and
productivity tool sets, simplifying our daily work lives

The Engineering Best Practices Board had several discussions around
moving to a new ticketing system, and in the end, the decision was made
to evaluate Jira in a series of pilot trials. The plan is to migrate to
Jira once the trials are complete. (More information about the decision

I would like to ask each of you to consider the following questions,
which are designed to elicit from you the "requirements" that you may
have for using the new system. Please get back to me with your answers
as soon as you can - ideally, by COB Wed Apr 09 2013. I am planning to
begin hosting pilot trials for individual products by the end of April,
and the earlier you can get me your feedback, the better the chance is
that I will be able to accommodate your specific needs.

Job-Specific Questions
- Think about your typical issue workflow. What aspects of that workflow
do you currently find problematic, confusing, or difficult to deal with?
- What aspects of that workflow are made easier by the ticketing system
you already use?
- What workflow-specific issues do you anticipate will be difficult to
deal with for any new system?
- Are there any specific aspects of your job that you think could be
made easier with an issue-tracking/collaboration system?

Miscellaneous Questions
- Have you heard about Jira or Confluence? If so, what are your general
impressions of it (if any)?
- Do you have objections to changing to a new issue-tracking system? If
so, what are they (please enumerate)?
- What things would be absolute deal-breakers for your acceptance of the
new system (either things that the new system does or mandates that you
cannot accept, or things that the new system does not provide that you
must have)
- Are you aware of any particular work efforts scheduled that might be
impacted by a rollout of a new ticketing system? If so, please describe.
- What specific questions or concerns do you have that have not been
addressed by the previous items in this questionnaire?
